How PFH handles your information

To create your artwork and deliver it to you, we’ll need a few details from you. These may include your contact and order details, the messages we exchange, your reference photos and your creative instructions. Shopify handles checkout and payment. The website may also receive basic technical information needed to keep it working securely.

Shopify helps us manage checkout and payment. For Emerging and Established commissions, we use the OpenAI API to create a direction Preview using the reference photo and the instructions needed for that step. It is not an artist’s sketch; the artist hand-paints the final artwork. Master commissions do not use AI.

OpenAI keeps information under its own API terms. This information is separate from the working photo copies held by PFH and the original reference photos you provide.

We value every story that begins with a photo and becomes a work of art. Your reference photos are used only to help create your artwork. PFH never uses or displays them publicly, and we do not provide them to partners who help prepare or publish PFH content.

By placing an order, you give PFH permission to use and display the completed artwork on our website, social media, advertisements and printed marketing. To prepare and publish this content, we may provide the completed artwork—but not your reference photos—to partners who help on PFH’s behalf. We may crop or resize images of the completed artwork to suit the layout.

We will not publish your name, address or exact location without separate permission. We may gently paraphrase the story behind the artwork, but only without those identifying details. Publishing your identity or exact location requires your separate permission.

Your photos can feel especially personal, so we want you to know what happens to them after delivery.

Once delivery is confirmed, PFH deletes within 30 days the working photo copies it no longer needs after creating your artwork or handling your order. This 30-day schedule does not apply to images of the completed artwork used or kept for the display and promotional purposes described under “Photos and completed artwork”.

You can contact us to request earlier deletion of working photo copies that PFH still holds. This does not remove images of the completed artwork that have already been published or printed, or that are retained for the display and promotional purposes described above.

Sometimes PFH may need to keep certain photos or related information for longer—for example, if there is a dispute, claim, chargeback or legal requirement. In that situation, PFH keeps only what is needed to handle the matter.

Information held by OpenAI follows OpenAI’s own API terms. It is separate from the working photo copies held by PFH and is not covered by PFH’s 30-day schedule.
